Salt Lake Back OfficeAI back office setup

AI back office setup for Utah small businesses

I install an AI back office in your business that chases every overdue invoice, closes your month, and tells you what your cash looks like 90 days out. It runs on your computer, on your accounts. Then I teach you to run it yourself.

Built on Claude for Small Business. Independent, not affiliated with Anthropic. Your data never leaves your machine.

The invoice thing

Every client said net 30. Half of them mean net 45. Two of them mean whenever you call. You know exactly who they are. You also know that calling them is the worst hour of your week, so it slides, and it slides again, and by the time you look at the aging report there is real money sitting in it.

You do not need a collections agency. You need the follow-up to happen on schedule, in your voice, without you.

What actually gets installed

01

The chase runs itself

A polite reminder at day 3. A firmer one at day 15. An owner-to-owner note at day 30. Written in your voice, approved by you before anything sends. Every account, every time, without you remembering.

02

Your month closes on a Monday

Reconciliation against your payment processor, a plain-English P&L narrative, and the gaps flagged before your bookkeeper has to ask.

03

You can see 90 days out

Cash in, cash out, payroll dates, the weeks that look tight. Before they are tight.

Why me

I teach you to fire me

Most people who set this up for you want you dependent on them. I do the opposite. Every install includes real training hours, on your machine, with your data, until you can run it without me watching. You get a written runbook that is yours to keep.

Some clients take that and never call me again. That is a good outcome. Most decide they would rather I keep an eye on it, and that is what the monthly plan is for: an AI person on call, not on payroll. Either way you own the system.

And when you would rather not think about it

Every install ends with you able to run the system yourself. The monthly plan is for the clients who would rather keep an AI person on call, not on payroll. Here is what that actually is.

  • A standing monthly tune-up
  • Someone watching the outputs for drift
  • A new workflow added each quarter
  • Someone to text when it breaks

I have actually done the job

Twenty years in food and beverage, from behind the bar to operations manager. An economics degree from the University of Utah. I have counted inventory at 6am, I have made the awkward phone call about a 60-day-old invoice, and I have run a P&L that had no room in it.

I am not a consultant who read about your business. I have run one. If you sell coffee or cater events, I already know your world down to the pars and the pounds. If you run a print shop, an agency, or a contracting crew, the numbers are the same and so are the headaches, and my economics degree means I actually like them.

Four steps, about two weeks

  1. Audit

Ninety minutes. I run the system on your real numbers and hand you a written report on what is actually overdue.

  2. Install

On site. Your computer, your QuickBooks, your accounts.

  3. Tune

I write the reminders in your voice. You approve every one before it sends.

  4. Train

You run the whole thing end to end while I sit there and say nothing.

The Receivables Audit is $350 and takes 90 minutes. You get a written report on your overdue accounts, your average days to payment, and what a chase system would realistically recover. The report is yours whether or not you hire me. If you do hire me within 30 days, the $350 comes off your install.
